A Virtual Golf Outing lets golfers from anywhere play a round at their home course, league course, or simulator and submit scores to compete against others. It’s just like a traditional golf outing, but flexible, accessible, and with no venue restrictions.
How does scoring and fairness work if people are on different courses?
- Individual Option (Event Specific)
We use a Stableford points system with handicaps so it’s simple and fair
0 = double bogey or worse
1 = bogey
2 = par
3 = birdie
4 = eagle
5 = double eagle
6= Hole in One
Your handicap is applied to your total score at the end, so all skill levels can compete evenly.
No handicap?
You’ll get a standard 18 so you’re still in the game.
Even though Player B scored fewer raw points, the handicap adjustment gives them the higher total — leveling the playing field and making the competition fair for everyone.
- Team Option (Event Specific): For 4-person outings, some groups may choose a scramble/best ball format — perfect for keeping it fun and team-oriented.
Do I have to play on a specific date?
No. Participants typically get a “play window” (ex: 2 weeks) to complete their round. This makes it easier to fit into busy schedules and avoids weather delays.
Do I have to golf at a specific course?
No. You can play at your favorite local course, league course, or even a simulator. The flexibility is what makes the virtual outing unique!
Common Concerns
Isn’t it less fun than a traditional outing?
Not at all. Many players find it more fun because they get flexibility, real prizes, and community engagement without the stress of travel or scheduling conflicts. Plus, organizations can still host optional in-person wrap-up parties if they want!
What about golfers who don’t take it seriously?
Our score submission process includes checks and balances (handicap adjustment and optional scorecard/photo verification). It’s designed to keep things fair while still fun.
Is it complicated to set up?
No. We handle the setup, registration page, fundraising model, and scoring system. You just invite golfers and sponsors.
Logistics & Experience
How do participants submit scores?
Players log their round using our easy score submission tool (optional scorecard upload). This keeps the outing fun and fair.
Do participants still get swag like a normal outing?
Yes! Depending on the package, golfers receive items like polos, tees, balls, or custom headcovers shipped directly to their door.
Is there still a sense of competition/community?
Definitely. Live leaderboards, community dashboards, social media challenges, and optional virtual awards ceremonies keep participants connected and engaged.
Organizer FAQ – Timelines, Production & Apparel
When should I place my order for a Birdie Cup outing?
We recommend beginning registration and uploading logos at least 8 weeks before your event date. This allows time for design proofs, approval, production, and shipping.
When does production officially begin?
Production begins once you provide written approval of your proof, or automatically 3 weeks before your event date using the latest draft we have on file.
Can I make changes after production begins?
No. Once production has started, no changes, cancellations, or refunds can be made. Please review your proof carefully before approving.
What if I approve or place an order less than 3 weeks before my event?
Orders placed or approved inside the 3-week window may incur rush fees and are not guaranteed for on-time delivery
How do setup fees work?
A one-time setup fee (usually $60 per logo/design) is required for new artwork. This covers preparing your design for printing or embroidery. If you reorder with the same logo, you won’t be charged again.
What is included in the pricing?
All prices include your logo in full color, graphic design, production, and shipping costs. Apparel pricing is based on quantity tiers — larger orders unlock lower per-unit costs.
What happens to unsponsored “add-on” items?
Any add-on items listed as sponsorship opportunities that are not sponsored by the production deadline will be automatically removed from your order.
Who is responsible for sizes, quantities, and artwork?
The organization is responsible for providing and verifying correct sizes, garment counts, and artwork details before approval. Once approved, Birdie Cup will produce exactly as specified
How long does shipping take?
Shipping times vary based on order size, but most apparel and merchandise arrive within 5–7 business days after production is complete. Tracking will be provided once your order ships.
What if my items arrive damaged or incorrect?
If there is a production error or damaged shipment, contact our team immediately. We will work with you to correct the issue. Please note that errors due to incorrect organizer-provided information (e.g., wrong sizes or misspelled names in artwork) are not covered.

How does The Birdie Cup help my organization raise money for my cause?
Just like a traditional outing, golfers pay an entry fee and sponsors can get involved. Since expenses are lower (no course rental, banquet, etc.), more of the proceeds go directly to the cause. We will show you your per-player cost, and you have the power to decide your registration fees. Sponsors and contests can offset costs or add additional revenue.
Can sponsors still get visibility?
Yes! Sponsors receive digital exposure on event pages, player scorecards, leaderboards, and swag. Packages even include custom-branded golf items mailed to participants.
What’s the benefit compared to a traditional golf outing?

How does fundraising work for nonprofits?
To ensure full transparency and protect tax-deductible donations, all sponsorship and registration payments are processed directly to the nonprofit organization hosting the event. Nonprofits will be asked to create a Stripe Connect account, which takes approximately 5 minutes to create.
The nonprofit then issues official tax-deductible donation receipts to donors and sponsors for the full amount contributed.
The Birdie Cup acts as a service provider, invoicing the nonprofit for platform services and apparel fulfillment. This ensures compliance with IRS guidelines while allowing nonprofits to maximize sponsor value and fundraising impact.
